Arncliffe Preschool is a not for profit, 38 place Preschool that believes in a play based, interest-based curriculum. We have a strong focus on self-help skills and supporting children to develop the necessary play skill and social skills that will enable them to confidently enter a formal school setting, when they graduate from preschool.

About the Position
We are seeking an experienced Office Administrator to work 2 days per week permanent part time/fixed contract, from 8am-3.30pm. Experience or training in administration is essential. The current days of work are Monday and Tuesday, however there is some flexibility for the right candidate. Above award wages offered. Position to commence as soon as possible.

Some key aspects of the job
Along with a current Working with Children Check, you will need to be able to demonstrate the following:

  • Assist with administrative duties as requested by the Director and Management Committee
  • Be responsible for Payroll, paying staff wages, reimbursing staff and any banking that is required
  • Organisation of the office
  • Assist the service in the maintenance of center records required by the Association, Government and other agencies
  • To have an understanding of the preschool management systems, and to liaise with DEEWR and other organisations as required
  • To assist the Director with Inclusion support claims and reporting
  • Accurate word processing, data entry of all children’s and families records and ensuring these records are kept up to date
  • Ensure accurate and up to date archiving procedures of children’s records, including parent contact details, emergency contact, immunization status etc
  • To assist the Director in the maintenance of staff attendance records including personal leave and holiday leave
  • To assist the Director in making purchases, maintain records of purchasing and invoicing correctly
  • Customer service, telephone and reception duties
  • Maintenance of filing systems and retention of records in compliance with requirements under the Education and Care Services National Law and Regulations.
  • Oversee collection and receipting of monies and associated duties for fundraising projects
  • Ensure enrolment processes and database applications are effective and current
  • To assist the Director with occupancy projections and re-enrolment procedures for the following year
  • Prepare accounts and receipting process of fees on a weekly basis or as required
  • To be aware of the service budgets and along with the Director prepare financial reports as required
  • Assist Preschool Management Committee as required
  • Ensure the Director is informed of any problems arising, which would affect the children, service approval or rating, regulatory and legal compliance or the smooth running of the service
  • Be aware of the services Quality Improvement Plan and assist to implement this as directed
  • Attend management committee meetings if required
  • Any other duties specified by the Director
